If you want clients who rebook automatically, tell friends, tip well, and defend your value, you must design a structured and systemized client journey, not just an appointment slot that pays you.

The Client Journey Happens in 5 Stages
And most artists only focus on stage 3 (the appointment).
High rates of client retention requires attention to all five:

Stage 1: Awareness - Before They Ever Book
At this stage, clients are analyzing, watching, and gaining intel. They've noticed your presence, but something needs to catch their eye, or they need to be consistently reminded of your presence. Otherwise, they'll move on.
They’re asking silently:
- Do I like their work?
- Do they look trustworthy?
- Are their results consistent?
- Do they seem clean, experienced, educated?
- Will I feel comfortable with them?
- Can they achieve the results I'm looking for?

Can I see myself in their chair?
Your content should answer these questions without them needing to ask.
Use storytelling, testimonials, behind-the-scenes, retention photos, FAQs, client wins. Make your presence feel safe, luxurious, and skilled.
Stage 2: Decision - This Is Where You Win or Lose Them
This happens on your website, booking system, DMs, or Google My Business.
Questions in their head:

What makes you different?

How long will it last?

How soon can I get in?
- How long will it take?
Your job:
Remove questions. Remove confusion. Add clarity and trust.
This means:
✔ simple booking page
✔ no complex policy wording
✔ clear pricing & service differences
✔ expectations of retention + fills
✔ tone that says “You’re in good hands”
✔ not having too many service options - minimize overwhelm
When info is easy to find, clients are more likely to book with you. Opposed to if there's little to no information, they move on.
Stage 3: Experience - The Appointment Should Feel Like Luxury Treat Yourself Moment
From the moment they arrive, everything is branding.
The scent when they walk in.
The tone of your voice.
The blanket you place on them.
The music, the cleanliness, the confidence.
The lack of rushing.
Luxury doesn't always mean the most expensive, it’s intentional enhancements to elevate an experience.
And here’s the secret:
Clients don’t know how to judge lash technique, but they know exactly how they feel during application, the appointment, or how they feel after the appointment.
Talk them through:
✨ what style fits their eye
✨ what retention they can expect
✨ what aftercare will look like
✨ what fill schedule is ideal for their lifestyle
Stage 4: Aftercare Support - The Part 90% of Artists Neglect
The appointment isn't the end of the client journey, it's the beginning of building a client relationship. Most artists perform the service as is with no fluff, ask the dreaded "Did you want to rebook today?", client inevitably pushes back and says no, and you just accept it, check her out, and go about your day.
No follow up, no guidance, and letting return income walk right out the door, with no promise of returning.
Instead, your goal is to educate, upsell, provide written and verbal return and product recommendations, and follow up.
Rebook script:
“Like we talked about during your appointment, I recommend coming back in 3 weeks for a fill. I have (date/time) available, do you prefer the same day and time, or something different?” Never say “ Do you want to book?” or “Does that work for you?”
Send a text 24–48 hours later:
“Hey (client name)! How are your lashes feeling? I hope you're loving them so far! Remember to cleanse daily using (aftercare) and avoid any touching, plucking, or pulling. Can’t wait to see you at your next fill 💛”
You can automate these messages and client rebooking scripts so clients never feel abandoned once they leave.
Stage 5: Re-Engagement - How You Build Lifetime Clients
Rebooking doesn’t happen by accident, instead it's a system that needs to be designed, repeated, and consistent with EVERY client EVERY time.
This System is built on one thing: consistency. When you provide the same structure, same education, and same post-appointment communication every single time, rebooks and retail sales become automatic. It removes guesswork, takes out the awkward sales conversations, and positions you as the expert leading the appointment.
When you educate throughout the service, you’ve already “pre-sold” the value. Clients will want to rebook or purchase retail because they know the why and they see what’s in it for them.
Offer:
✔ rebook at checkout
✔ retention-based scheduling guidance
✔ loyalty program or VIP perks
✔ education emails between appointments
✔ “I miss you” follow-up when overdue
This builds a habit and an expectation from clients, they feel important, taken care of, and most importantly, like they're in good hands.
